Wilde First Aid Introduction

At Wilde First Aid, we go beyond basic training by offering hands on, engaging sessions tailored to real-world scenarios. Our expert instructors ensure that every participant gains the confidence and practical skills needed to handle emergencies with ease. 

What sets us apart is our personalised approach, industry specific training, and commitment to making first aid accessible and memorable. 

When you train with us, you're not just learning-you're preparing to make a real difference.

Terms & Conditions - 

​1. Bookings and Payment

  • All training courses must be booked in advance, either through our website, email, or by phone.

  • Full payment is required at the time of booking unless otherwise agreed in writing.

  • Payment can be made via bank transfer or other methods as specified at checkout.

2. Cancellations and Refunds (See refunds policy for more information)

  • By You (the client):

    • Cancellations made more than 14 days before the course date: full refund.

    • Cancellations made between 7 and 14 days before the course date: 50% refund.

    • Cancellations made less than 7 days before the course date: no refund.

    • You may request to reschedule once, free of charge, provided at least 7 days’ notice is given.

  • By Us:

    • We reserve the right to cancel or reschedule any course due to unforeseen circumstances. In such cases, you will be offered an alternative date or a full refund.

3. Delegate Substitutions

  • If a delegate cannot attend, a substitute delegate may be sent at no extra charge, provided we are notified at least 24 hours in advance.

4. Attendance and Certification

  • Full attendance is required to qualify for certification.

  • Delegates must arrive 15 minutes prior to course start time for registration and briefings. Late arrivals over 15 minutes past the start time may not be permitted to join the course and will not be eligible for a refund.

  • Certificates will be issued upon successful completion of the course and are valid for the recommended certification period (typically 3 years unless otherwise stated).

5. Course Requirements

  • Delegates must be physically able to participate in practical elements of the training.

  • Please inform us in advance of any medical conditions, learning needs, or disabilities so we can accommodate where possible.

6. Conduct

  • We reserve the right to refuse or remove any delegate who is disruptive or under the influence of drugs or alcohol. No refund will be given in such cases.

  • On Qualsafe Awards accredited courses, learners must conduct themselves according to the Learner Agreement document that will be present for learners to read on the day of the course

7. Liability

  • While every effort is made to ensure safety during training, we are not liable for any loss, damage, or injury sustained while attending the course unless caused by our negligence.

8. Data Protection

  • All personal information is handled in accordance with current data protection laws. Your data will not be shared with third parties without your consent.

Privacy Policy

Wilde First Aid Training (“we,” “us,” or “our”) is committed to protecting and respecting your privacy. This Privacy Policy outlines how we collect, use, and protect personal information you provide when booking or attending our courses. It also explains your rights under the UK General Data Protection Regulation (GDPR) and the Data Protection Act 2018.

Wilde First Aid Training is an approved training provider delivering accredited first aid qualifications. We are required to collect, process, and share learner data with our awarding body, Qualsafe Awards, for the purpose of qualification delivery and certification.

  • Ethnicity (for monitoring purposes)

  • Password-protected computers and user accounts

  • Locked storage for physical records

  • Antivirus and encryption software

  • Secure submission and access via the Qualsafe Awards online portal

Access to your personal data is restricted to authorised individuals only.

6. Data Retention

We retain your data only as long as necessary:

  • Course records and learner data are retained in line with Qualsafe Awards’ retention policy, currently 5 years.

  • We regularly review stored data and securely dispose of it when no longer needed.

 

7. Data Destruction

When data is no longer required, we ensure its safe and confidential destruction:

  • Paper records are securely shredded

  • Digital files are deleted or anonymised (pseudonymised)

  • We never retain data beyond what is required for regulatory compliance

8. Your Rights

You have the following rights under data protection law:

  • Right to be informed about how your data is used

  • Right of access to the data we hold about you

  • Right to rectification if your data is inaccurate or incomplete

  • Right to erasure (“right to be forgotten”)

Internal Quality Assurance (IQA) Policy

1. Purpose of This Policy

At Wilde First Aid Training, we take pride in delivering high-quality, reliable training and assessment. Our Internal Quality Assurance (IQA) process ensures that assessments are fair, consistent, and meet national standards as set by our awarding body, Qualsafe Awards (QA).

This policy explains how we monitor, support, and improve the quality of our teaching, assessment, and internal processes.

 

2. What is Internal Quality Assurance?

Internal Quality Assurance means checking that:

Assessment decisions are accurate and consistent

Trainers and assessors follow official guidance and standards

Learners are treated fairly and assessed properly

Records and evidence of assessments are well-maintained

We also use the IQA process to support staff development and ensure that administration runs smoothly.

 

3. What We Do as Part of IQA

We carry out the following quality assurance activities at least once every year for each assessor delivering QA qualifications:

A full review of training and assessment paperwork

Observation of live training and assessments

Standardisation sessions to align our approach across all staff

All this evidence is stored securely in our QA Centre Documents section online.

 

4. Our People and Resources

To ensure quality and consistency, we make sure:

All trainers and assessors have the right qualifications and experience

All IQA staff are qualified internal quality assurers, or are experienced assessors who have delivered at least 10 training courses (with at least 3 courses in the past 12 months)

All IQA and delivery staff attend at least one standardisation meeting per year

All quality assurance activity is recorded and stored via the QA Member’s WebOffice

We also keep an internal list of approved staff qualified to carry out IQA activities.

 

5. How We Carry Out IQA

Here’s how our internal quality assurance process works:

Assessment Review
Our IQAs review training delivery, assessment decisions, and admin processes to make sure they match the qualification standards.

Feedback and Support
If there’s any disagreement or inconsistency in assessment decisions, the IQA and assessor will meet to discuss it. These discussions are logged, and extra training will be provided if needed.

Ongoing Monitoring
All documentation and feedback are stored securely and shared with QA as needed. We follow up on any guidance received from external QA reviews.

 

6. Continuous Improvement

Wilde First Aid Training uses IQA findings to:

Improve training delivery and assessment consistency

Develop staff knowledge and confidence

Keep our systems compliant with regulatory requirements

Ensure learners receive a fair, high-quality experience

 

7. External Quality Assurance

We also respond to all guidance and feedback from QA’s external quality assurance visits. Any changes they recommend are reviewed and implemented as needed.

Health and Safety Policy for Wilde First Aid Training Staff
Effective Date: April 2025

1. Introduction

1.1 Wilde First Aid Training requires trainers/assessors to observe the Health and Safety Policies and risk assessments of Wilde First Aid Training.

1.2 Wilde First Aid Training requires trainers/assessors to observe the Health and Safety Policies and risk assessments of the venue used.

1.3 Wilde First Aid Training requires that the responsibilities outlined in 1.1 and 1.2 are managed by all trainers/assessors and Centre staff in a way that ensures the health, safety, and well-being of employees, contractors, visitors, learners, and any other persons on its premises or at any hired venues.

1.4 Wilde First Aid Training will provide and maintain equipment that is suitable for the intended use, so that it is safe and without risk to health for the delivery of qualifications leading to a Qualsafe Award.

 

2. Venue Checklist

2.1 Wilde First Aid Training requires the trainer/assessor to assess the course venue to confirm it is a safe place of work, prior to course commencement:

a) Fire escapes are clearly marked, adequately maintained, and not obstructed.
b) Fire fighting equipment is clearly marked and placed, and fire marshals nominated.
c) Access to training rooms is clear and safe.
d) Lighting, heating, and ventilation are adequate.
e) Computers/projectors (if provided) for training have been PAT tested — trainer/assessor to confirm or request evidence from venue.
f) Washing and toilet facilities are adequate and appropriate for gender mix.
g) First aid and accident reporting procedures are in place.
h) Any other relevant matters coming to the attention of the trainer/assessor.

 

3. Wilde First Aid Training for Trainers/Assessors Regarding Specific Qualification Delivery

3.1 General

a) Introduce and follow all Wilde First Aid Training policies in place to protect the interests of learners as soon as is practicable.
b) Sessions should not exceed 2 hours without a short rest or comfort break for learners.
c) Follow guidance regarding lifting and handling course equipment.
d) Confirm safe arrival home after the course by text, email, or call to allow us to comply with lone worker regulations.

3.2 First Aid Qualifications

a) Consider learners wearing gloves or using antibacterial hand cleaning gel during group practice.
b) Consider using kneeling mats to protect knees in all demonstrations on prone casualties, and promote good practice example to all learners.
c) Ensure all practical exercises are carried out in a safe and proper manner.
d) Risk assess all outdoor areas prior to outdoor scenario incident training.
e) Wear gloves when stripping/cleaning/removing manikin lungs and the like.
f) Dispose of all low-level contaminated waste safely.

3.3 Non-First Aid Qualifications

a) Undertake a full risk assessment in regard to all activities to take place for the delivery and assessment of the qualification.
b) Ensure safe systems of working have been approved by the Wilde First Aid Training Manager prior to commencement, such systems being qualification dependent.

 

4. Wilde First Aid Training Incident Reporting

4.1 Wilde First Aid Training trainers/assessors or other staff must report all accidents/incidents/near misses (“event”) to the Wilde First Aid Training Manager as soon as is reasonably practicable after the event occurs.

4.2 If the Wilde First Aid Training Manager is unavailable, the assessor should act appropriately and may contact Qualsafe Awards for guidance if required.

4.3 Wilde First Aid Training Manager will ensure that a First Aid needs assessment has been undertaken and that there are sufficient first aiders/equipment available at the course venue to meet HSE recommendations.

5. Annual Review and Action Plan

This policy will be reviewed annually. If issues are identified, an action plan will be developed and implemented accordingly.

 

6. Diversity in Practice

Wilde First Aid Training will:

Ensure environments are accessible and inclusive (e.g., adjustable furniture, diverse CPR manikins).

Provide adaptable learning materials.

Train staff in diversity awareness.

Offer information in multiple accessible formats.

Arrange interpreters or sign language support as needed.

7. Assessment Practice

Assessments will focus strictly on the qualification criteria, with reasonable adjustments available for those who need them, such as learners with:

Sensory impairments

Bereavement or other personal challenges

Adjustments must maintain fairness and competency standards. Requests should be submitted to QA at least 5 working days in advance.

 

8. Temporary Indisposition

Minor issues (e.g., back pain or minor illness) will be managed through practical and reasonable adjustments. Trainers are encouraged to use their judgement and consult QA when necessary.

Supporting documentation (e.g., medical notes) will be archived for verification.

 

9. Appeals

If Wilde First Aid Training disagrees with QA’s decision on a reasonable adjustment, it will engage in dialogue with QA or formally appeal using the QA Appeals Policy.

 

10. Disability Impact

In line with guidance from the Equality and Human Rights Commission:

Trainers must demonstrate that qualifications are awarded fairly.

Adjustments should be made where possible, but not to the detriment of competency standards.

The process of demonstrating competence is distinct from the standard itself.

 

11. Special Considerations

For short-term disruptions (e.g., fire alarms, illness, COVID-19), adjustments such as rescheduling assessments or extending sessions may be made. Trainers are expected to respond appropriately and record all decisions.

 

12. Learner Procedures

Learners should:

Raise issues directly with their trainer.

Escalate unresolved concerns to Wilde First Aid Training in writing.

Contact QA if internal resolution is unsatisfactory.

 

13. Data Collection

Data is collected to monitor compliance with equality laws:

Registration Forms capture gender, ethnicity, and special needs.

Evaluation Forms allow learners to rate and comment on training and assessment.

All data is archived in compliance with the Data Protection Policy and may be shared with regulatory authorities.

 

14. The Equality Act 2010

A person is considered disabled if they have a long-term (12+ months), substantial impairment that negatively affects daily activities.

Definitions:

Substantial = more than minor or trivial.

Long-term = expected to last 12 months or more.

Malpractice and Misconduct Policy

1. Purpose

This policy explains how Wilde First Aid Training handles any cases of malpractice, maladministration, or misconduct. We are committed to acting with integrity and fairness, and will fully cooperate with Qualsafe Awards (QA) or any other awarding body in such cases.

2. What We Mean by Malpractice, Maladministration and Misconduct

2.1 Malpractice

Malpractice is any deliberate action that puts the integrity of a qualification at risk. This could include falsifying records or certificates, cheating during assessment, or knowingly breaching awarding body requirements.

2.2 Maladministration

Maladministration refers to mistakes, negligence, or poor practice in managing or delivering qualifications. Examples include:

Delays or failure to act

Incomplete or incorrect records

Failing to follow required procedures

Giving misleading information

Poor communication or broken promises

2.3 Misconduct

Misconduct is any improper or unethical behavior during training or assessment, such as inappropriate conduct, false claims, or dishonesty.

3. Examples of Misconduct and Malpractice

Some examples include:

Not keeping required records or assessments

Claiming a qualification is accredited when it’s not

Learners impersonating someone else or submitting false registration documents

4. Reporting Concerns

Anyone — trainers, assessors, learners, staff, or the public — can report suspected malpractice or misconduct. Reports can be made to the Wilde First Aid Training Manager using the appropriate form, or directly to QA if preferred.

5. How We Handle Allegations

5.1 Anonymous Reports

We will investigate anonymous or telephone reports where there is enough information to do so. You’ll receive an acknowledgment within 2 working days.

5.2 Allegations Involving Wilde First Aid Training

If QA is informed of an allegation, we will fully cooperate with their investigation and follow their procedures. QA will provide a formal response within 15 working days of acknowledging the report.

5.3 Allegations Involving a Learner

The Wilde First Aid Training Manager will investigate, possibly alongside QA. Findings and any actions will be communicated to both the learner and QA within 15 working days.

6. What Happens if Allegations Are Proven

6.1 Learners

Depending on the severity, actions could include:

A written warning

Withholding or invalidating certificates

Banning future registrations

6.2 Wilde First Aid Staff

If allegations are upheld against a member of our team, we may refer the case to QA’s whistleblowing process. Learners are informed of this route at the start of each course.

7. Investigation Process

7.1 Goals of an Investigation

To determine what happened, why, and who was involved

To assess the impact on current and future learners

To decide whether existing certificates are affected

To report outcomes to the awarding body

7.2 Principles

Investigations are fair, unbiased, and confidential

All relevant evidence will be reviewed

Any appointed investigator will not be closely connected to the people involved

7.3 Process

Original records and evidence will be collected securely

A formal report will be prepared within 15 working days

We’ll keep investigation records securely for at least 5 years

We’ll follow all guidance and actions required by the awarding body

8. Appeals

We may appeal any decision made by the awarding body by following their published Appeals Policy.

9. Working with Regulators

We respect the role of external regulators. If we disagree with an awarding body’s decision, we may refer the matter to the appropriate regulator.

10. Whistleblowing

10.1 How to Raise a Concern

Step 1: Raise the issue internally with the lead trainer/assessor or Responsible Person.

10.2 Confidentiality

Wilde First Aid Training and QA will protect your identity where possible. However, it may need to be disclosed in certain situations (e.g., legal investigations). Please note that the details of your report may make you identifiable even if your name is not shared.
